The accounting bit

Built-in accounting, and what that actually means

Most tools that say this mean a running total of invoices. Here is what is underneath ours, including where it stops.

Double entry, refused if it doesn't balance

Every invoice, payment, credit note and stock movement writes both sides of the entry, through one place in the code that rejects anything that does not balance. That is why the balance sheet balances: not because somebody checked, but because an unbalanced posting cannot be written in the first place.

Four statements, from the same postings

Profit and loss, balance sheet, trial balance and cash flow. The cash flow is derived from the movement in every other account, so its three subtotals add up to the change in your bank by construction rather than by arithmetic somebody did once. Sales tax is kept out of both revenue and costs, because it was never yours.

More than one company

Run a holding company and two operating ones and each keeps its own books, its own GST number and its own return. The group view adds them up and takes out what they billed each other, because counting an internal invoice would flatter both the revenue and what you are owed. Each company's own books still show it, since that is what it files on.

Stock that costs what it cost

FIFO or weighted average, your choice, with freight and duty spread into the goods that carried them. What you sold is charged out at what it actually cost you, not at today's price list, and the stock on your balance sheet is the same figure as the stock on your shelf.

Slice it by whatever you run

Branch, department, fund, job. Tag an invoice and every posting it ever makes carries the tag, including the payment three weeks later. Anything untagged gets its own column rather than being dropped, so the slices still add up to the business. Long jobs are billed in stages, with what you have earned tracked against what you have invoiced.

Closed means closed

File a period and nothing can be dated back into it. Reopening it takes a reason, and the reason is kept. Every posting says which company it belongs to and cannot be split across two, which is what lets each set of books stand on its own.

Payroll recorded, never computed

Hours go out to whoever runs your payroll (Wagepoint, ADP, a bookkeeper); the run's figures come back in as one balanced entry, and the withholdings sit on your balance sheet until they are remitted. The figures must add up, gross equals withheld plus net, refused otherwise, and nothing here works out CPP, EI or tax. That is your provider's job, on purpose.

Where it stops: we do not file your return, compute payroll (we record your provider's figures and carry the liability), or translate a foreign subsidiary into your currency. Progress on a long job is spread evenly unless you assess it yourself. It is a real set of books, kept properly. It is not your accountant.

The security bit

Boring on purpose: how your data stays yours

This is the least glamorous page on the site and the one we're proudest of. Here's exactly how your clients' data is kept private, separate, and safe.

Each business walled off at the database

Every business's data is separated with Postgres row-level security, enforced at the data layer, not just checked in the app. One business can never read another's records, even if the app has a bug.

Hosted in Canada, never sold

Your customers' information lives on Canadian infrastructure, and so does the AI: it runs in AWS's Canadian regions, so prompts never leave the country. Never sold, never shared. Built to line up with PIPEDA and provincial privacy laws.

Encrypted, hashed, quantum-ready

Everything travels over TLS with hybrid post-quantum key exchange (X25519MLKEM768) already live, so traffic recorded today can't be decrypted by tomorrow's quantum computers. Encrypted at rest too, and passwords are one-way hashed, never visible to us. You can verify the post-quantum handshake yourself from any terminal.

Two-factor, brute-force resistant

Sign-in supports authenticator apps and SMS codes, and both password and code attempts are rate-limited to shut down guessing attacks.

Audit trails and versioned files

Sensitive actions are logged and documents are versioned, so you can always see who did what, when. (Realtors: that's RECA-style record-keeping out of the box.)

Who-sees-what roles, human-approved AI

Owners, team leads and assistants each see only what their role allows. The AI drafts and proposes: nothing sends, and no action runs, without a person clicking approve. The one exception is a standing rule you set up yourself, and everything it may do unattended is on a list two items long, raise a to-do, or hand one to somebody. Never email a customer, never move money.

The AI bit, without the hand-waving

How Tara answers a question about your paperwork

Ask what the delivery minimum is and she quotes the page. Here is every step between those two things, including where it stops working.

It reads PDFs and Word files

Text comes out of PDFs and .docx, detected by what the file actually is rather than what it is named, so a renamed file still reads. Anything else, images and scans included, is stored and downloadable but not searchable. We would rather say that than imply we read everything.

Cut into overlapping pieces

Documents are split into roughly 900-character chunks that overlap by 150, so a sentence that matters is never sliced clean in half at a boundary and lost to both sides.

Turned into numbers by Titan, in Canada

Each chunk goes to Amazon Titan Text Embeddings V2 on Bedrock in ca-central-1, and comes back as 1,024 numbers describing its meaning. Canadian region, no third-party AI vendor, nothing sent outside AWS.

Found by meaning, not keyword

Your question becomes numbers the same way, and Postgres finds the closest chunks by cosine distance using pgvector with an HNSW index. The best six are handed to Tara as context. Ask about the deposit and it finds the paragraph about deposits, even if it says retainer.

Walled off like everything else

The chunk table carries the same Postgres row-level security as the rest of your data, so one business's documents can never surface in another's answers. It is enforced at the database, not checked in the app.

What happens when it cannot reach Bedrock

If Bedrock is unreachable or unconfigured, indexing does not fail: it falls back to deterministic placeholder vectors so the upload still completes. Those are not real embeddings, so search over anything indexed during an outage is not meaningful until it is re-indexed. It is the sharpest edge in here, which is exactly why it is written down.

Answers cite the document and page they came from, so you can check them rather than trust them.
